Position Overview

The 4As is seeking an enthusiastic, self-directed, collaborative and data-informed Events Manager to join the Content, Digital & Brand business unit. The Events Manager will report to the VP of Conferences & Events and will co-plan and manage the production of in-person and virtual events. The Events Manager will help plan and execute flawless event experiences for attendees; you will, among other things, partner with team members to execute event logistics, manage speaker relationships, and partner with the Partnerships team on sponsorships and practice leads to inform and implement holistic strategies for our events. Success in this role requires a deep understanding of event operations, provide excellent project management skills, maintain a keen eye for compelling and innovative event strategies, and possess a passion for continuous improvement. This person will need to have an entrepreneurial nature to try new and different things with minimal direction but will collaborate well with others. Overall, this role will be challenged to push boundaries, propose and execute new ideas, and establish best practices.

Position Responsibilities

Core responsibilities and tasks include:

  • Full ownership of event execution, logistics and operations.
  • Independently manage venue coordination and on-site logistics including catering, signage, hotel, photography and on-site staffing.
  • Own event speaker management process from end-to-end. Manage speaker communication processes as well as handle any necessary follow ups to ensure the event timeline is being met.
  • Partner with VP of Events & Conferences and EVP, Content, Digital & Brand to align with key stakeholders across event strategies.
  • Develop and lead project timelines and event production workflow in coordination with VP of Events, VP of Marketing, and Project Manager.
  • Drive best practices for live event strategy and selection, including promotion, giveaways, branding, on-site experience and messaging.
  • Manage event registration and badging to ensure a smooth process for members and industry registrants while addressing any issues. 
  • Organize and maintain a list of in-house event supplies and inventory. Identify, gather and ship required materials needed for event implementation.
  • Manage the event marketing calendar.
  • Partner with the marketing team on: digital demand generation to ensure events achieve registration and attendance goals; on-site signage and creative needs; post-event follow-up.
  • Assist VP of Events with event budget tracking and processing of vendor invoices.
  • Partner with VP of Events to ensure the necessary event reporting – registration, timeline, status, budget, post-event reporting, etc.
  • Build processes for repeatability and scalability of events activities.
  • Think big to deliver new ideas and creative approaches to constantly improve the experience.
  • Drive and deliver best practice documents and process improvement documents.

Position Requirements

  • 7+ years of events operations experience; specifically: 
    • Delivering live event programs (300+ attendees) that align to the customer journey and registration goals
    • Managing engaging  high-profile virtual event programs (100+ attendees)
    • Facilitating cross-functional interactions to create, plan, and execute events
  • 2+ years Salesforce (or similar CRM database platform) experience.
  • Excellent project management skills; able to hit deadlines and manage numerous events throughout the year.
  • Capability to move easily between generating big, creative ideas and driving ongoing process improvement.
  • Proven analytical and data-driven decision-making capabilities shown to drive metrics and benchmarks to ensure continuous improvement in process and results.
  • Demonstrated ability to perform well in a highly dynamic and rapidly changing environment with a positive attitude, collaborative spirit and creative thinking.
  • Stays up-to-date with marketing, industry and event trends.
  • Competency with project management software and other event management products.
  • Experience with production management and media management including tools such as Adobe Suite preferred.
