Position Background
The 4As is the voice of the agency community across America. The global ad industry is set to pass $1 Trillion in spend this year. The US is set to have $491 billion of that spend. And represent 20% of US GDP. So, to be the voice of the industry is a real and unique honor. The things we do, stand for, and advocate for shape the direction of our industry. Over a 108-year history the 4As has gone from reacting to member organization needs and key industry topics to the organization today which must set agendas, continually represent the broad agency community, and amplify its constituents’ voice in a more complex ecosystem of brands, platforms, creators, technology solutions and clients.
Position Overview
The HR Manager is responsible for overseeing/assisting in the day-to-day delivery of Human Resources projects, programs, and strategies (communication, on-boarding, assimilation, talent management etc.). This position will have an opportunity to provide leadership on certain Human Resources projects with department or company wide impact. The HR Manager performs responsibilities in the following functional areas: recruitment, onboarding, 4As University training, employee relations, performance management, policy implementation, and employment law compliance. Actions and decisions are subject to regular supervisory oversight.
Position Responsibilities
Recruitment and onboarding:
- Manage the Recruitment Process from start to finish utilizing our HRIS (UKG: Universal Kronos Group). This includes working with Business Unit leaders on Job Descriptions and posting to external sources & job sites
- Manage communication with new hires including offer letters, background checks, and employee set-ups (e.g. new hire alerts, new hire gifts, laptop shipment & delivery logistics)
- Ensure pre-boarding & onboarding processes are followed: Welcome eMail with first-week schedule, New Hire Orientation, Career Pathing & training on 4As Expectations Framework, First Day Experience, First Month Essentials, and Goal Setting Guide
Employee relations:
- Responsible for Employee Pulse Surveys (working with our vendor Quantum Workforce)
- Help to develop and implement 4As Employee Engagement ideas and activities (e.g., 4As University, “A Day in the Office”, Hybrid Work Environment, Employee Get-Togethers, Brown Bag Lunch Series, LinkedIn Learning coursework)
- Manage moderately complex issues/needs, including conducting investigations, troubleshooting issues and providing recommendations and guidance to Business Unit leaders and escalates as appropriate
- Coach employees and mid-level leaders in assigned client groups on talent management feedback and performance management
- Proactively build and maintain relationships and guide employees and managers through HR processes, tools, and initiatives
Policies and procedures:
- Monitor and assist with the interpretation and implementation of Human Resources policies and procedures as needed
- Recommend enhancements and improvements to established processes in areas of expertise
Project management:
- Responsible for 4As University calendar development for the year
- Responsible for HR calendar of events
- Propose training initiatives & other projects as needed
Training:
- Help to maintain 4As University and training & upskilling programs in support of the 4As commitment to employee development and organizational enrichment
- Build and govern consistent training and mentoring programs at various levels throughout the company
Administrative:
- Responsible to audit all benefits elections in our HRIS on a monthly basis
- All areas previously discussed regarding Onboarding
- Work with the Director of HR, ensuring employee files are accurately maintained
- Prepare appropriate documents to be processed for semi-monthly payroll (new hires, changes, increases, terminations, etc.)
General responsibilities:
- Collaborate with staff to understand the organization’s goals and strategy related to staffing, recruiting, and retention
- Help to administer the administration of human resource programs including, but not limited to, compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; and training and development
- Identify staffing and recruiting needs; develop and execute best hiring and talent management practices
- Oversee the Mid-Year and Year-End performance review process ensuring all managers are completing performance reviews in a timely manner, and processing related compensation changes as needed
- Monitor and ensure the organization’s compliance with federal, state, and local employment laws and regulations and recommended best practices; reviews and modifies policies and practices to maintain compliance
Position Requirements
- Bachelor’s Degree in Human Resources or related field
- 3-4 years of experience in fast-paced support/administrative position
- Maintain a work ethic that mirrors organization’s culture and values
- Ability to prioritize, multi-task and meet deadlines in fast-paced environment
- Exercise sound judgment when dealing with sensitive and confidential matters
- Excellent written and oral communication skills
- Strong attention to detail and organizational skills
- Strong interpersonal and relationship-building skills
- Ability to work collaboratively and be a team player
