Position Overview
The Member Engagement & Development (MED) Operations & Support Specialist will join our membership team supporting our regional leaders in the areas of sales enablement, prospecting, onboarding, and renewals. In addition, you will provide project management support to some of our most important leadership programs – like CEO Forums, committees and regional training events.
In this position, you will be required to work within our CRM platform to pull reports, update customer records, and support regional leaders with member data requests.
The individual will also fulfill administrative support duties assisting the EVP MED on areas like travel booking, expense management, and meeting coordination.
This role is a great opportunity for a motivated, energetic individual who wants to gain experience and challenge their abilities in a member facing environment. They will be a tenacious go-getter, detail-oriented, and comfortable wearing multiple hats.
Position Responsibilities
Executive Vice President Administrative Support:
- Support EVP in areas like travel booking, expense management, and meeting coordination with members.
- Manage MED team meeting agendas.
- Send out weekly member meeting activity report.
- Coordinate team business planning offsites.
- Assist in drafting communication materials such as newsletters, member updates, member prospecting materials and promotional emails.
- Assist EVP in updating presentation materials in preparation for Member presentations on a regular basis.
Member Onboarding and Offboarding:
- Application processing.
- Billing setup with finance department.
- Member profile setup in CRM system.
- Member welcome notifications.
- Updating Committee and Forum assignments.
Database & CRM Management:
- Maintain and update membership databases or CRM systems (e.g., Salesforce, Nimble) with accurate member information, interactions, and engagement activities.
- Generate reports and analytics on membership trends, engagement metrics, and retention rates.
Council Events and IAAS Coordination:
- Assist MED reps in planning, organizing, and executing local council member events, including workshops, webinars, conferences, and networking events.
- Manage Institute of Advanced Advertising Studies (IAAS) event logistics such as venue coordination, catering, registration, and attendee communications.
- Manage event related invoicing.
Position Requirements
- 1-3 years of advertising or marketing industry experience, preferably as an administrative assistant, account manager, or sales operations role.
- Flexible remote work is available, but some travel could be required.
- Comfortable and experienced working with spreadsheets, calendar scheduling, and power point tools are essential.
- Salesforce or other CRM systems experience is preferred.
- An understanding of the advertising industry and agencies is a plus.
- Able to work seamlessly in a remote environment and team members across different locations and time zones.
- Highly organized, able to juggle multiple priorities with strong attention to details.
- Able to work independently and comfortable making decisions.
- Comfortable interfacing with senior-level executives.
- Strong written and verbal communication skills
